Grade:ProfessionalJob Description:This position is responsible for
all financial accounting, preparing and monitoring annual
budgeting, human resource management, payroll/HRM, procurement,
office management and other administrative tasks required for the
operation of the Museum.Job ResponsibilitiesAccounting: Oversees
all financial activities. Reconciles Museum's revenue and expenses
for 5 state 20+ Foundation & the Friends of the LSU Museum of Art.
Reconciles the LSU, LSU Foundation, and Museum of Art's ledgers.
Generates financial reports, project reports for divisions and
Executive Director by the 25th of the following month. Prepares
financial reports for the Advisory Board and Friends of the LSU
Museum of Art Board in a timely fashion. On a daily basis reviews
Workday transactions for accuracy and completeness. Oversees
accuracy of all deposits. (40%)Budget: On an annual basis,
coordinates and manages the Museum's operating budget process,
prepares Administrative budget and advises the Executive Director,
division managers regarding any budget accounting issues, including
grants. Meet quarterly with department managers to review budget to
actual for their department(s). Advises and processes the use of
Foundation accounts and the Friends accounts, as part of the budget
process including spend authorizations and WorkDay processes.
Ongoing duty to analyze budget and comparisons as needed.
(20%)Administrative: Serves as executive assistant to the Executive
Director and prepares agendas, minutes, handouts for all Board
meetings. As liaison maintains the boards timelines and
communications. Responsible for travel arrangements for staff,
office supplies and serves as technology, equipment, and phone
system manager. Serves as museum's ITS field consulting contact.
Serves as building coordinator and property inventory manager.
Maintains office supplies and copier and supply orders. Maintains
Friends corporate files and required internal financial files.
(20%)Human Resource Management/Payroll: Processes all personnel
forms as required by HRM and maintains all personnel records and
files. Reconciles monthly payroll to general ledgers. Works with
the Office of Student Aid. Tracks time and payroll costs for
Federal Work Study and President's Student Aid employees. Shaw
Center liaison: coordinates with the Shaw Center staff as needed.
Coordinates mail processing in a timely fashion. (15%)Additional
Responsibilities: Responsible for complying with LSU's, the LSU
Foundation's and Friends rules for purchasing. Process purchase
orders for the Museum. Tracks actual costs against each purchase
order. Determines the need for alterations. Has approval authority
for all Museum purchase requisitions. Performs analysis and
prepares reports as requested. Represents the museum to Business
Manager meetings and others as assigned. Reviews, develops,
recommends maintains, and implements policy and procedures relating
to financial management of the museum. (5%)Minimum
QualificationsBachelor's degree in Accounting, Business or related
field with 3 years of related accounting, budgeting and/or business
operations experience. Specific experience in accounting practices
and bookkeeping. Have working experience with Microsoft Office and
Quickbooks software. Must know general office
procedures.Substitution for Degree ConcentrationBachelor's degree
and 9 hours of college accounting plus 3 years of documented
accounting, budgetary, finance or related experience. An additional
year of documented accounting, budgetary, finance or related
experience may be used to substitute college accountingPreferred
QualificationsMaster's degree in Accounting, Business or related
field with 5 or more years of experience with business transactions
in a university setting; LSU Workday experience a plus.Additional
