This classified Administrative Coordinator 4 position is located within the Division of Early Childhood Operations and primarily supports the Child Care Assistance Program (CCAP) by assisting Type 3, family Home, In home, Military, and School providers to certify to receive public funds and with program related questions.

Duties and responsibilities include, but are not limited to the following:

* Serves as the certifying agent with direct access to CAPS, BLAS, TOTS, Udimy, On Base , systems to assist licensed registered providers to apply for Certification to receive public Funds
* Receives Registration Application
* Sends applications to Licensing for Application number from BLAS -
* Verifies providers Pediatric first aid and CPR for certification
* Verifies CCBC for applicant and household members
* Verifies Fire marshal inspection
* Verifies Medication and Administration Training
* Provides assistance through the Pre-service orientation
* Ensures providers have attained passing score in the Key Orientation Training modules 1, 2, 3
* Schedules centers or family homes inspection-initial inspection
* Monitors for completion of inspection
* Schedules 2nd inspection 6 months after certification.
* Provides Notification to provider on case approval and management
* Pends Application in TIPS system
* Completes W9 Form and issues to providers
* Completes direct deposit form
* Ensures all documentation is received using a check list and tracker
* Updates trackers for new providers, Update banking tracker daily
* Provides Notification to provider and CCAP workers, management
* Is also responsible for processes during Renewal Registrations

Preferred Qualifications:

Those who possess the following experience are encouraged to apply:

Experience in reviewing cases in the Child Care Assistance Program (CCAP) systems including but not limited to CAF--, CAPS, and/or Eligibility Certification are preferred but not required. The candidate should have skills that help demonstrate the ability to perform and log detailed numerical tasks .

Note regarding the advertised pay range:The maximum amount listed is the maximum salary a person can make while in this title and NOTthe maximum amount we are allowed to pay a new hire.

One position is available and it is located in Baton Rouge, LA. The person hired for this position is expected to regularly report to the Baton Rouge office. This position may be filled as a job appointment, probationary new hire, promotion of any permanent classified state employee OR promotion of a permanent classified employee of the Department of Education, Special School District, or the Board of Elementary and Secondary Education.

Qualifications

MINIMUM QUALIFICATIONS:

Three years of experience in which clerical work was a major duty.

SUBSTITUTIONS:

Training in a business or clerical-related curriculum in a business school or technical institute will substitute for the required experience on the basis of six months of training for six months of experience for a maximum of one year of the required experience.

Completion of a business or clerical-related curriculum in a business school or technical institute will substitute for a maximum of one year of the required experience.

College training will substitute for the required experience on the basis of 15 semester hours for six months of experience.

NOTE:

Business or technical school training with less than completion will only be credited in six month increments.Similarly, college training will only be credited in 15 semester hour increments.

NOTE:

Any college hours or degree must be from a school accredited by one of the following regional accrediting bodies: the Middle States Commission on Higher Education; the New England Commission of Higher Education; the Higher Learning Commission; the Northwest Commission on Colleges and Universities; the Southern Association of Colleges and Schools; and the Western Association of Schools and Colleges.

Examples of Work

NOTE:

Positions allocated at this level tend to focus on specialized, programmatic examples of work as listed below:

Performs responsible departmental-program duties in accordance with rules, regulations, and policies. May involve communication with other departments, customers, etc.

Serves as liaison and/or contact person for the department or office between and amongst other departments, customers, vendors, and agencies.

Receives applications or other forms and reviews for compliance with department policies; works to resolve discrepancies; may make initial determinations regarding client's eligibility for department services.

Prepares requisitions for the purchase of supplies; may involve entering information into an automated system.

Compiles information from various sources and prepares specialized reports; formats reports according to department standards.

Serves as assistant to a manager, which could include keeping appointment schedule, preparing travel, issuing directives to others on their behalf, and relieving the manager of administrative matters.

May begin performing duties related to traditional administrative functions, such a property control, purchasing, and safety, in addition to other clerical duties as noted above.
